The Wedding Day Timeline No One Tells You About: Behind the Scenes

Our venue looks stunning in those Instagram photos you’ve seen—perfectly styled tables, flawless florals, every detail in place. It is one of the thigns that attracted you.

But how does it actually get that way? Most couples don't realize that the magic happens in a carefully choreographed dance between your venue and vendors before the special day even starts. And given that we're in Utah County, most of our brides are planning their wedding themselves—with a little help from their mother and La Fête.

Let us pull back the curtain on what really happens on setup day.

The Hour-by-Hour Breakdown

12:00 PM or 4:00 PM - The Doors Open Your florist, caterer, and other vendors generally arrive within the same time window. Here's the beautiful part: they're not waiting on anything. Our tables, chairs, and linens are already staged and ready, based on our prior consultations.

The First Hour - Synchronized Setup Your caterer heads to our prep kitchen and starts staging the serving room. Your florist begins the floral decoration process—bud vases, centerpieces, mantle pieces. If you have a DJ, they'll set up sound zones in our 4,000-square-foot ballroom.

If you've chosen our décor package and setup assistance, we'll stage the table decorations and ensure the candles are lit. If you've elected to DIY the decoration, your army of volunteers will arrive in this timeframe. We generally stage one table as a template so your team can replicate it across the ballroom.

It's controlled chaos—everyone has their lane. If you're getting ready on-site, this is when you'll hear the bustle. Most couples arrive about an hour in, once the heavy lifting is done.

Hour Two - Your Vision Takes Shape The ballroom is transformed. Tables are set, food is laid out, and the bookcases are decorated. Signage finds its home. Our three Frame TVs are ready with your slideshow or videos.

Your photographer typically arrives for detail shots—invitations, florals, and the untouched cake—documenting the prelude before the event.

Finally, your coordinator does a final walkthrough—gift table secure, bathroom baskets stocked, everything ready to go. The transformation is complete. You can walk in, take a breath, and actually see what you've been planning for months come together.

What Couples Always Forget

The Gift Table Strategy Aside from online registries, you'll have cards and boxes on the gift table. Assign someone to transport them at the end of the day. Your getaway car won't fit everything.

The Winter Coat Question November through March in Utah? Designate a specific coat area with clear signage. Otherwise, 150 jackets end up draped over chairs and tables.

Bathroom Go Bags Are Non-Negotiable Mints, bandaids, safety pins, stain remover, deodorant, hair spray, lotion, Tylenol. Someone will spill a drink. Someone will need Advil. Be the hero who planned ahead. We can also help with this.

Your Vendors Need to Eat Budget for meals for the vendors you've hired to help make your day perfect.

The Load-Out Nobody Plans For Who's taking decorations home after your send-off? Flowers? Food? Those boxes you showed up with? Don't assign this to your parents—they'll be exhausted. Pick a reliable friend and provide bins.

You'll invariably leave something in the bridal room, so designate a sweeper to check after you depart. And if you forget something, just call us.

What Makes La Fête Different

Everything's Already Here. Because our tables, chairs, and décor packages are in-house, your decorator walks into a ready space at opening time. No waiting on rental trucks. They can start styling immediately.

The Kitchen Works. Your caterer has prep tables, a commercial fridge, an ice maker, and a serving room strategically positioned right off the kitchen for seamless service with minimal disruption to the festivities.

Built for Flow. Our ballroom comfortably seats up to 180 people with existing tables/chairs (the more we bring in, the more we can seat). If you're doing a ceremony and reception in the same space, we need just 10-15 minutes to flip to the next timeline event.

Minutes from the Temple. Temple wedding at City Center Temple? Your guests aren't driving across town. Your photographer can capture temple shots and still get to the venue with time to spare.

The Bottom Line

Setup day at La Fête runs smoothly because we've eliminated the biggest time-wasters. Your vendors arrive to a ready venue (as confirmed by the Venue Setup & Configuration Doc we send a week or two before the event) and hit the ground running.

The secret to a truly seamless day? A detailed, well-thought-out timeline shared with every vendor at least two weeks out. Your assigned coordinator will execute the plan. Don't stress—things will go fine, and your vendors will execute flawlessly. You show up to a finished space ready to party.
